We are pleased to announce the creation of a new program for disposition of computers in AFS, FS, HRDS, and RMPS! As part of its responsibilities, Computer & Network Support (CNS) in Facilities Services manages the replacement cycle for computers. The replacement cycle includes collecting and preparing these computers for disposal. Directors within these four organizations have stated a desire to have these computers be available for purchase by regular employees in these organizations. We have created a computer lottery in order to make our recycled computers available for purchase. This lottery creates a fair and equitable program that is available to all regular employees in AFS, FS, HRDS, and RMPS.
Recycled computers will be put into two pools: desktops and laptops. CNS will oversee the procedure for preparing the computers for disposition in accordance with University policy and generally accepted good business practice. Employees interested in purchasing a computer may sign up for the desktop and/or laptop lottery via a web interface. Key HR managers and staff will have special access to enroll employees who, for whatever reason, are unable to enroll themselves. Only one entry per person per pool is allowed.
All computers will have all data and software removed. CNS will install a clean operating system (whichever OS was licensed with the system) before sale.
Winners will be contacted and given instructions for payment and pick-up of a computer. All computers must be paid for and picked up within 10 business days of the drawing unless other arrangements have been made. Any employee who fails to pick up a computer will be dropped from the lottery pool and must re-enroll if they wish to participate in a future drawing. Winners are dropped from the pools but may re-enroll for a future drawing. Employees who do not win will automatically be entered into the next drawing.
The sale price for each pool will be set by the Director of AFS and the Director of Administration and Operations Support. The cost for the preparation for disposition will be charged to a university account created for this purpose. Sales proceeds will be deposited into the same account that funds preparation for disposition, which allows us to create a self-sustaining program. Any surplus funds will be used to reduce future CNS overheads or a purpose agreed to by the Vice Presidents of FS and RMPS. All computers are sold with no warranty expressed or implied.
Please contact Tom Horton with any questions or invite him to a staff meeting to discuss the new program.
